Application privacy notice

This notice covers accounts used to apply for the VoyaKind ambassador programme, application review and pre-launch approval. It does not enrol you in a fitness subscription or activate referrals, discounts, commissions or cash-outs.
Who is responsible

Information we use
We use your account email, account identifier and verification status; your professional name, country, public channels, audience, content examples, relevant partnerships, motivation and availability; and your application acknowledgements, submission time, status and review notes. Audience-size information is optional. We may review the public profiles and content you identify in your application. Authentication and hosting services also process technical information such as IP addresses and security logs.
Do not submit bank details, identity documents, your home address, health information, passwords in application answers, or private details about other people. Passwords belong only in the sign-in form and are handled by our authentication provider.
Why we use it
We use your information to handle the application you request, assess suitability for a future commercial partnership, communicate about your application and manage approval. For these requested pre-contract steps we rely on Article 6(1)(b) of the UK GDPR. We rely on legitimate interests under Article 6(1)(f) for account security, preventing abuse and keeping a proportionate decision history. Our interests are protecting applicants and operating a fair, accountable programme.
Applying is voluntary and there is no legal obligation to apply. We cannot assess an application without the required answers and a verified account. Reading this notice is an acknowledgement, not marketing consent. We do not add applicants to a marketing list through this form. Decisions are made by the owner, not solely by automated profiling. Automated checks validate fields and restrict account access.
Who can access it and where
The designated VoyaKind owner reviews applications. Applicants can view only their own application. Supabase supplies authentication and the application database; Wix supplies website hosting. Email you send to our Gmail contact is handled through Google's email service. Providers process data as needed to deliver and secure their services. We do not publish your answers or sell application data.
The application database is configured in Supabase's Ireland region. Hosting, support and email processing can involve other countries. The providers' published data-processing terms provide contractual transfer safeguards, including standard contractual clauses and UK provisions where applicable. How long we keep it
Declined applications and their review notes are retained for six calendar months from the decline decision and deleted by the next daily cleanup. Pending applications are kept while the application is being assessed and the pre-launch recruitment process remains open. Approved or suspended application records are kept while the prospective partnership or its review remains relevant; we review that need when the programme launches, a decision changes or you withdraw. We do not retain applications simply for unrelated future marketing.
You can withdraw using your application account. Withdrawal removes the application and associated review notes from the live database and cancels pre-launch approval. Your member account and unrelated order or financial records are separate and are not deleted by withdrawing. Contact us to request account closure or deletion of those records. Restricted recovery backups may retain copies until the provider's recovery cycle expires; they are not used for routine application review. If a backup is restored, applicable deletion requests must be reapplied before ordinary use.
Your rights and contact
You can ask to access or correct your information, request erasure or restriction, and request portability where it applies. These rights have legal conditions and exceptions. You can correct pending applications online; for other corrections, contact us. You have the right to object to processing based on legitimate interests. Email the address above with your request. Do not send identity documents unless we explain why a proportionate identity check is necessary. We normally respond within one month, subject to the lawful extension rules.
You can complain to the Information Commissioner's Office. You do not need to contact us first, although we welcome the chance to resolve concerns.
Account storage and changes
Sign-in uses browser storage to keep your session and is needed for account-based application access. Sign out on shared devices. This application form does not subscribe you to advertising or marketing. Other website pages may use separate services. We record the notice version acknowledged with your application. If the programme introduces earnings, payment details or different uses of data, we will provide the relevant information before those features start.
